Leasing Dolphin FIS to VA health networks and facilities

Facility procurement is a different transaction from a family renting a surface for a bedroom. The equipment is the same; everything around it is not. You are working to your own contracting rules, your own receiving process and your own budget cycle, and what you need from a supplier is a specification, a quote in a usable format, and straight answers about what the supplier can and cannot do.

We sell and lease Dolphin® FIS® surfaces to VA health networks and to facilities. This page describes how that works at our end and what we need from yours. It is short because it is a process page, not a sales page, and because there is a great deal about federal procurement that we are not going to imply.

How an institutional enquiry runs

    Tell us the requirement

    Configurations, quantities, the frames they will sit on, and whether this is a lease, a purchase or a trial. If the requirement is still being written, say what it has to achieve.

    We quote in your format

    Specification, unit pricing, lease terms and freight per receiving site, prepared so that your buyer can put it through your own process rather than translating it first.

    Your contracting process runs

    Purchase order, competition, or whatever your station or facility requires. This part belongs to you and moves on your timetable; we answer questions and supply documentation.

    Delivery and receipt

    Freight to each site, with dock, inside delivery or clinical engineering receipt arranged in advance. Surfaces are set up on the frames they were specified against, not left in a corridor.

    In service, then back

    Leased surfaces are cleaned and inspected between patients or between deployments, and returned at the end of term. Purchased units carry the Joerns warranty in your name.

What we do not claim, stated first

We hold no federal contract vehicle, GSA schedule, special item number or facility-level agreement that we can point you at, and nothing on this site should be read as claiming one. If your acquisition requires purchase through a particular vehicle, tell us at the start and we will say plainly whether we can meet it rather than letting a quote travel a long way toward a wall.

Nor are we Joerns Healthcare. We are an authorized dealer of their equipment. Where this page describes what the product does, it describes it as Joerns does, and Joerns states that its clinical indications are guidelines, to be taken only as recommendations for consideration during individual patient assessment by the clinician.

What a facility lease actually covers

A lease is a monthly charge per surface for as long as the surface is in your service, and it exists for the same reason a rental does on the consumer side: the need has an unknown end. A unit that will move through a dozen patients in a year is a different budgeting problem from one bought for a single long-stay resident, and leasing keeps it in operating expenditure rather than capital.

What ships is light and self-contained: Joerns lists the therapy mattress at 22 lb and the AutoVector® control unit at 10 lb, with the control unit at 11.5 by 12.5 by 6 inches, running at 115/230 VAC, 50/60 Hz. Control units are classified to UL 60601-1 and CAN/CSA C22.2 No. 601.1 in North America, which is the line your clinical engineering department will want in the intake record. Surfaces are cleaned and inspected between deployments following the cleaning instructions in the Joerns user-service manual; we hold no named reprocessing certification and do not claim one.

Fit is specified per frame, not per order. Widths are 35, 42 and 48 inches, lengths 82 inches with an 88 inch step-deck version and an expandable model rated 80 to 92 inches, depths 8 or 10 inches. Joerns states the equipment is not to be used on frames that leave gaps of even a few inches at the head panel, foot panel or rails, so a mixed estate of frames needs the frames identified before quantities are agreed.

VA health networks

VA purchasing and leasing runs through VA contracting channels rather than through Medicare DME rules, and it runs on your timetable. Our part is the same as for any facility: specification, quote, documentation, delivery to the receiving arrangements you specify, and support for the units while they are in service.

What is useful to send with a first enquiry is the station and the receiving site, the configurations and quantities or the requirement they have to satisfy, the frames in the units concerned, whether you are leasing or purchasing, and the acquisition route your office intends to use. If there is a threshold, a vehicle or a competition requirement that shapes the answer, that is the thing to tell us first.

Trials and phased deployments

Facilities often want a small number of surfaces in service before committing to an estate decision, and that is a reasonable way to buy equipment at this price. Tell us what you need to observe and over what period, and we will scope what is actually available against stock and freight rather than agreeing in principle to something that cannot be resourced.

Phased deployments across several sites are quoted per site, because the freight, the receiving arrangements and the frames differ at each one. A single blended number across a network would be a tidier document and a less accurate one.

Questions people ask us

Can the VA lease these?
We sell and lease Dolphin FIS surfaces to VA health networks, through VA contracting channels rather than Medicare DME rules. The acquisition route is your office’s to choose; tell us which one you intend to use and we will support it or tell you plainly that we cannot.
Are you on a GSA schedule or a federal contract vehicle?
No, and we do not claim one anywhere. If your acquisition requires purchase through a specific vehicle, say so at the outset so nobody spends time on a quote that cannot be used.
Can we lease rather than buy?
Yes. The same configurations are available as a monthly lease or an outright purchase, and which is better usually comes down to whether the surfaces will move through many patients or stay with one.
How are surfaces cleaned between patients?
Every surface is cleaned and inspected between deployments following the cleaning instructions published in the Joerns user-service manual. We hold no named reprocessing standard or certification and will not imply one; if your infection prevention team requires a documented standard, ask each supplier to put in writing exactly what they hold.
What does clinical engineering need at intake?
The control unit runs at 115/230 VAC, 50/60 Hz, drawing 0.34/0.21 A, is classified to UL 60601-1 and CAN/CSA C22.2 No. 601.1 in North America, and carries a rechargeable battery providing approximately twelve hours of alternate power. Tell us in advance if intake needs to receive units before they reach a ward.
Can you deliver to multiple sites on one order?
Yes, quoted per site. Freight, receiving arrangements and the frames differ at each location, so one blended figure across a network would be tidier and less accurate.
